Spirit Nights/Fundraising
Longwood Dining Services offers spirit nights at Moe's Southwest Grill, Chick-fil-A, and P.O.D. Market where student organizations and local community organizations can fundraiser for their cause. Click the links below to learn more about Spirit Night requirements and for Spirit Night FAQs. Due to the high demand organizations are only permitted to host one spirit night total per semester. Spirit Night reservations are accepted online only. Groups who meet all the requirements will receive 5% of the sales from their Spirit Night. Spirit Night Requirements:
- Proof of Promotion – Due within one (1) week of submitting your reservation
Send the following email to Emilee Farabaugh (farabaugh-emilee@aramark.com) within one week of submitting your request. Failure to do so will result in your reservation being deleted without notice:

5. Proof of Promotion: Must include a screen shot, file attachment, forwarded email, etc. If you need clarification please reach out to Ashley before the Proof of Promotion is due.
Promotion ideas include, but are not limited to: Flyers, Emails, Facebook Events, Orca TV, etc. Reach out to on-campus and community organizations that you and other members belong. A confirmation email is not considered a proof of promotion.
- NEW REQUIREMENT!!!! Spirit Night Participation Forms
As a way to make sure your Spirit Night is being properly promoted, as well as ensuring that your Organization's representative present at the event is interacting with guests, there is a new requirement.
- Groups will hand out sheets of paper to members and guests who will attend the event. In order to get the 5% of the proceeds from each sale, the guest will have to supply this paper to the cashier at the register. This shows that they are there to support your cause.
- This new requirement will help you advertise for your event, and get students excited about what you are raising money for.
- Representatives and members attending the spirit night are encouraged to interact with guests who come through the door (as they are required to already, as noted in requirement 3) to explain what they are raising money for, and give them the paper to hand to the cashier. The guest does not have to do anything extra, and it doesn't affect what they buy, just how we record the sale.
- This form can be printed by Longwood Dining and supplied to the group blank, for them to fill out, or, Longwood Dining can email your group the form to fill in electronically and print yourselves.
- Agency Account Number OR W9 – Due within one (1) week of submitting your reservation (If your Agency Account Number was submitted with the Spirit Night Form you can skip this step)
Send the following email to to Emilee Farabaugh within one (1) week from submitting your reservation. A completed W9 can be brought to the Dining Services office on the ground floor of Dorrill Dining Hall or emailed to Emilee Farabaugh. Failure to do so will result in your reservation being deleted without notice:

- Spirit Night Representative – Present 5pm – 7pm at Spirit Night
The representative must sign in with the Manager on Duty upon arrival.
The representative(s) should greet guests, thank them for their support, and handle any additional activities (raffle, games, photos, etc.).
- Proof of Performance- Due within forty-eight (48) hours after your Spirit Night

5. Proof of Performance: Must include a image of your organization at your Spirit Night and the organization's display. If you need clarification please reach out before your Spirit Night.
Performance ideas include, but are not limited to: Brochures, posters, tri-folds, your mascot etc. If your organization is fundraising for a group other than themselves the representative(s) can bring information on the fundraiser in place of information on their organization.
- Please contact us immediately if your organization needs to cancel.
If your organization cancels within 48 hours of their scheduled spirit night your organization will not be allowed to reschedule and will not be scheduled for a spirit night the next semester.
- Failure to complete the above requirements will result in either deletion of the Spirit Night in which the organization will not be allowed to sign up for a new one that semester, or loss of the 5% of total sales that would have been their funds.
